RecurPost adds roles and a staged approval workflow

RecurPost has added role-based permissions and a staged approval workflow. Our record had RecurPost with approvals included across plans and with neither assignable roles nor named review stages. What is new is the roles themselves, the stages, the deadlines attached to them, and a board view.

What a role is here. A member holds one role per workspace, so the same person can hold different permissions on each client under a single login. A role starts from one of four editable templates — Contributor, Writer, Editor, Publisher — or is built from scratch across ten permission groups: posts, approvals and publishing, social profiles, the content library, the inbox, reports, DM automations, paid ads, client review, and workspace and team settings. Several groups carry a master switch that removes the whole area from that member’s sidebar. Only the account owner can open the roles page.

What the workflow does. The owner names the stages a post travels through, drawn from four types: drafting, internal review, client review, and scheduled. Each stage names the roles allowed to act on it rather than named individuals, so a staff change does not break a live workflow. A stage can carry a deadline of 4, 8, 24, 48 or 72 hours, or 7 days. RecurPost warns at 50% and 80% of that time, and when the deadline passes it holds the post, escalates it, approves it automatically, or reschedules it — the owner picks which per stage. Clients approve or send a post back from a shareable link, with no login and no account. The same stages appear as a Kanban board alongside the calendar.

The deadline behaviour is the part worth separating out for anyone comparing this territory. A deadline that changes the state of a post is a different thing from a reminder email about it, and a feature list will call both “approval reminders”. Ask a vendor which one it means.

Plan placement is stated two ways on RecurPost’s own site. The pricing page’s comparison table marks “Custom Roles & permissions” as not included on Starter ($9) and Personal ($25) and included on Agency ($79) and Enterprise, and the same page’s FAQ says roles and permissions “are available on the Agency and Enterprise plans”. Both feature pages say the opposite for roles: that RecurPost “includes roles and permissions on every plan”, with only the workflow builder on Agency. We report the pricing page’s version, because that is the source every profile in this Directory is verified against, and we will re-check the contradiction on the next sweep. The row that carries approval workflow and shareable calendars reads: not included on Starter, two calendars on Personal, five on Agency.

What it does not cover. RecurPost’s own page states that the workflow applies to one-off posts, so evergreen library content and recurring posts do not travel through its stages. An agency whose calendar is built on the recycling this product is named for therefore puts only part of its output through review.

Dating the change. RecurPost’s two feature pages carry a publish date of 2026-09-16 in their own page schema. The Wayback Machine holds no snapshot of recurpost.com/plans-and-pricing/ since 2026-05-25, so the day the comparison table changed cannot be fixed from the archive. Our own verification of that page on 2026-09-18 recorded prices; this Directory’s recurring sweep re-checks plan and add-on prices, not feature rows, which is why a capability change surfaced on a manual pass rather than a scheduled one.
