Per-seat vs per-workspace pricing in social media management tools

Social media management tools bill on three different units. A tool charges per user seat, or it charges per workspace with unlimited users, or it sets a fixed base price with a capped user allowance and sells extra people separately. The unit decides whether a bill grows when a team hires or when a team adds a client account. It is not the same question as which plan looks cheapest.

Plan cards rarely say which unit applies. The seat charge usually sits in an add-on row further down the pricing page, and on several pricing pages it is not published at all. The classification below covers every tool in the Directory, works the cost at three team sizes on one fixed roster, and records which vendors changed unit and when. Every figure carries a verification date and a link to the page it came from.

Three terms are used throughout, and they are defined at the foot of this page.

What these tools actually charge for

The Directory lists 35 tool profiles as of 2026-08-24. Four of them charge per user seat. Three include unlimited users on every paid plan. Twenty-five set a fixed base price with a capped user allowance, an extra-user charge, or an unlimited allowance that arrives only at the top tier. Three publish no figure this axis can be measured against.

Module add-ons move a bill further than either column above, and they are priced per workspace on two vendors. HeyOrca sells Reports at $59, Inbox at $39 and Listening at $39 per workspace per month on Basic (verified 2026-08-24). ContentStudio sells social listening at $99/mo on Advanced and $150/mo on Agency Unlimited, white label at $50/mo and SSO at $150/mo (verified 2026-08-24). Sendible sells white label as a $349/mo add-on on Elite and $800/mo on Enterprise (verified 2026-08-24 on sendible.com/pricing). Sked Social sells internal approvals at $500/yr and external approvals at $1,000/yr on Grow (verified 2026-08-24). Statusbrew sells review management at $100/mo, activity logs at $79/mo and CRM integration at $300/mo on Premium (verified 2026-07-16/17).

A row is classifiable when the vendor publishes a self-serve price and a user figure. Three vendors fail that test for different reasons. Meltwater and Oktopost publish no user figure, and Meltwater publishes no price. Sprinklr Social withdrew self-serve purchasing on 2026-04-30 and its pricing pages now return 404, which removed the last publicly priced per-seat tier it carried at roughly $299/seat/mo. Those three are unclassifiable on this axis rather than absent from the market.

Disclosure

followedapp.com is published by the team behind RecurPost. RecurPost is covered here under the same rules as every other vendor, and the classification above applies those rules to it unchanged.

RecurPost sits in the hybrid group. Among the vendors that sell an extra seat as an add-on, RecurPost’s $20/mo is the second-highest, behind MavSocial’s $24/mo on monthly billing. Nine vendors that price extra seats individually publish a lower rate, and Publer’s $2/mo on Professional is the lowest of them. Three vendors charge nothing for an extra seat on any paid plan, and seven more reach unlimited users at their top tier. Where the arithmetic below puts RecurPost ahead, the reason is that $79/mo carries 20 profiles and three users. Where it puts RecurPost behind, the reason is that a fourth person costs $20/mo and a per-workspace plan charges nothing for that person.

Where the two models cross over on cost

One roster runs through every figure in this section. The roster is 20 connected social accounts, monthly billing, US pricing, verified 2026-08-24. For each vendor the plan named is the cheapest published plan that covers 20 accounts.

Two inputs in that table carry a caveat. Hootsuite publishes per-user rates for annual billing only, and its own page states that monthly-billing rates are shown at checkout and run higher, so the Hootsuite row is a floor rather than a monthly figure. Sprout Social’s $399/seat/mo is its published monthly rate for Professional, against $299/seat/mo on annual billing.

Four crossover points fall out of that roster.

  1. Per seat crosses per workspace at two users. Sendible Premium costs $199/mo for 42 profiles and unlimited users. One Hootsuite Professional seat costs $199/mo. The second Hootsuite seat takes that team to $398/mo, which is more than Sendible’s entire plan.
  2. RecurPost’s hybrid crosses HeyOrca’s per-workspace plan between four and five users. RecurPost Agency is $79/mo with three users included, so four users cost $99/mo and five cost $119/mo. Two HeyOrca Basic workspaces cost $118/mo at any headcount. The margin at five users is $1.
  3. RecurPost crosses Social Champ’s Agency plan between six and seven users. Six users on RecurPost Agency cost $139/mo. Seven cost $159/mo, against Social Champ Agency at $149/mo flat with unlimited users.
  4. RecurPost crosses Sendible Premium at nine users. Nine users on RecurPost Agency cost $199/mo, matching Sendible Premium exactly. The tenth user takes RecurPost to $219/mo.

SocialPilot Premium stays below every per-workspace row across the whole range, at $100/mo through six users and $120/mo at ten. On this roster the cheapest published route is a hybrid plan with a small seat add-on, not a per-workspace plan. That figure rests on our own SocialPilot profile verified 2026-08-24, because socialpilot.co/pricing renders its plan cards client-side and returned no readable prices when fetched on 2026-08-24.

Every one of those crossover points moves the moment the roster moves. Cut the roster to 6 accounts and the order inverts. Sendible Core covers 6 profiles at $35/mo with unlimited users. RecurPost Personal covers 5 profiles at $25/mo with one user, so a sixth profile adds $4 and two more people add $40, reaching $69/mo for the same team. The per-workspace plan is then half the price of the hybrid plan it beat at 20 accounts.

The arithmetic also says nothing about whether either tool does the job. Sendible Core carries no approvals and no Client Connect (verified 2026-08-24), so a team that needs client review cannot buy Core at all and lands on Plus at $99/mo. Vista Social Advanced at $149/mo covers 30 profiles and four users, and adding X publishing at $29/mo and Listening at $75/mo takes the same account to $253/mo before a fifth person is priced. The vendors that changed pricing model, and when

One vendor on our record has changed its billing unit on the seat axis, and it moved away from per seat.

Sendible replaced its per-seat ladder with workspace-based tiers where every plan includes unlimited users, verified 2026-07-17. The before-and-after figures and the practical effect sit in Sendible’s move to workspace tiers. No vendor in the Directory has moved in the opposite direction on our record.

A change counts as a model change when the billing unit changed. A price move inside the same unit is a repricing, and four of those sit close enough to be mistaken for switches.

One vendor changed unit on a different axis. Tailwind replaced three à-la-carte per-account products with four credit-metered tiers, verified 2026-08-17, moving from a per-Pinterest-account product to a monthly credit allowance. Tailwind’s users are capped per tier rather than sold per seat, so the move does not register on the seat axis. See Tailwind’s plan restructure. That move was reversed on 2026-08-26: the tiers were deleted and the three per-Pinterest-account products restored, which returns Tailwind to a per-account unit with no published seat price at all. See Tailwind’s reversal. The user-count row in the table above reads the tiers as they stood on 2026-08-24. As of 2026-09-02 those tiers are back for most visitors: Tailwind is split-testing the two structures from the same URL, so the per-tier user caps in the row apply to the control arm and the no-seat-price reading applies to the variant arm.

Two changes removed or restored rows in the classification rather than changing a unit. Sprinklr ended self-serve purchasing on 2026-04-30 and its pricing pages now 404, which took a publicly priced per-seat tier out of the market. PromoRepublic’s public page went quote-only, verified 2026-07-17, and we corrected our own reading of that on 2026-08-24: the public page publishes no numbers, and the self-serve product never stopped. PromoRepublic’s Build tier carries 10 social profiles and 1 user, and Grow carries 30 profiles and 10 team members or clients, taken from an in-app pricing screen captured 2026-08-20 inside a trial account. PromoRepublic therefore stays in the classification, on in-app evidence rather than on its public page. Contract terms changed on one vendor without touching a unit or a price: Loomly’s discounted annual billing carries a no-early-cancellation clause, verified 2026-07-17, which raises the real cost of annual billing for a team whose headcount shifts mid-term.

Seat-count cuts that work like price rises

Vista Social cut the number of users included on every tier while holding prices, verified 2026-08-04. Reading that cut as a per-user price rise is our interpretation layered on the dated event, not part of the event itself. The arithmetic behind the interpretation is below, and it divides the plan price by the included-user count before and after.

The reading holds for a team already at or above the old included-user count. A three-person team on Professional fitted inside the plan before the cut and no longer does. That team also cannot price its own bill, because Vista Social’s extra-user row reads “Customizable” with no figure attached (verified 2026-08-24 on vistasocial.com/pricing).

The reading does not hold for a team of one or two. A two-person team on Professional pays $79/mo before the cut and $79/mo after it, so nothing changed for them. A four-person team on Advanced is in the same position at $149/mo.

One further detail on the same page complicates the record. Vista Social’s plan cards read 2, 4 and 8 users, and the FAQ lower down the same page still reads “Our Professional plan comes with 3 users. Our Advanced plan comes with 6 users” (both observed on vistasocial.com/pricing on 2026-08-24). The cards carry the current allowance and the FAQ carries the pre-cut one.

Metricool ran the same mechanism in a different column. Metricool’s X add-on went from $5 to $10 per connected account per month between 2026-05-20 and 2026-08-12, with plan prices unchanged. On Starter at $45/mo for 10 brands, publishing to X from all 10 brands cost $50/mo in add-ons before the change and $100/mo after it. The total for that account moved from $95/mo to $145/mo, a rise of 53%, while the plan price stayed at $45/mo (plan figures re-confirmed on metricool.com/pricing on 2026-08-24). A Metricool customer who does not publish to X pays $45/mo either way.

Where each model suits a team, and where it does not

Per-seat pricing costs less when headcount is one and the account ceiling is high. Hootsuite Professional at $199/user/mo on annual billing carries unlimited accounts (verified 2026-08-24), so a single operator running 100 accounts pays $199/mo. No hybrid or per-workspace plan in the classification covers 100 accounts at that price. Per-seat pricing costs more the moment a second person needs access, because the second seat adds the whole tier price again. It does not suit a team whose headcount grows faster than its account count.

Per-workspace pricing costs less when headcount exceeds what the account count requires. Sendible Premium at $199/mo covers 42 profiles and unlimited users (verified 2026-08-24), so a twelve-person agency running 40 client profiles pays $199/mo and a two-person agency on the same profiles pays the same. Per-workspace pricing costs more when the account count is small, because the price attaches to the workspace and not to the people. A solo operator on 20 accounts pays $118/mo across two HeyOrca Basic workspaces or $199/mo on Sendible Premium, against $79/mo on RecurPost Agency. It also does not suit a team that needs a feature gated above the entry workspace tier: Sendible Core at $35/mo has no approvals and no Client Connect, so client review starts at Plus at $99/mo.

Hybrid pricing costs less when the team sits at or below the included-user count, or when the seat add-on is small next to the base price. SocialPilot Premium at $100/mo includes 6 users and charges $5 for each additional person, so a ten-person team pays $120/mo. Hybrid pricing costs more when a team passes the included count on a vendor whose seat charge is a large fraction of the base. RecurPost Agency at $79/mo includes three users and charges $20 for each additional person, so a ten-person team pays $219/mo, above Sendible Premium’s $199/mo flat.

Hybrid pricing does not suit a team above the included-user count on a vendor that publishes no extra-user figure at all. Twelve vendors in the classification fall into that group:

  1. Vista Social lists its extra-user row as “Customizable” with no figure (verified 2026-08-24).
  2. Loomly publishes no extra-user price on Starter, which caps at 3 users (verified 2026-08-24).
  3. Metricool publishes no numeric user allowance and no per-user charge (verified 2026-08-24).
  4. Missinglettr publishes no extra-user price on Solo or Pro (verified 2026-08-24).
  5. Tailwind caps users per tier and publishes no extra-user price (verified 2026-08-24).
  6. PromoRepublic includes 1 user on Build and 10 on Grow, and the in-app pricing screen captured 2026-08-20 carries no extra-user price.
  7. eclincher caps Standard at 2 users and publishes no extra-user price (verified 2026-07-16/17).
  8. Statusbrew publishes user counts per tier and no extra-user price (verified 2026-07-16/17).
  9. NapoleonCat sets the user count with a pricing slider and publishes no separate per-user increment (verified 2026-07-16/17).
  10. OneUp publishes no user figure of any kind (verified 2026-07-16/17).
  11. dlvr.it publishes no user figure of any kind (verified 2026-07-16/17).
  12. Postfity publishes user counts per tier and no extra-user price (verified 2026-07-16/17).

A team in that position has to ask the vendor before it can build a budget, which is a different problem from paying more.

Three terms used above

Per-seat pricing charges the tier price for every user. Adding a person adds the full tier price again, so a $199/user/mo plan costs $398/mo for two people.

Per-workspace pricing attaches the price to a workspace or a plan and includes unlimited users. Adding a person costs nothing, and adding a client account is what raises the bill.

Included users is the number of user accounts a plan covers before an extra-user charge starts. Cutting that number raises the cost per user even when the plan price does not move.

Which tools include unlimited users on a workspace plan?

Three tools include unlimited users on every paid plan. Sendible includes unlimited users on Core, Plus, Premium, Elite and Enterprise, confirmed on sendible.com/pricing on 2026-08-24. HeyOrca includes unlimited users on Basic and Pro, confirmed on heyorca.com on 2026-08-24. Emplifi includes unlimited seats and owned profiles on every tier, from our profile verified 2026-07-16/17. Seven hybrid vendors also reach unlimited users, but only at their top tier:

At what team size does a per-workspace plan cost less than a per-seat plan?

On a roster of 20 connected social accounts at monthly billing, verified 2026-08-24, the crossover is the second user. Sendible Premium costs $199/mo for 42 profiles and unlimited users. Hootsuite Professional costs $199/user/mo on annual billing, so one seat matches Sendible’s whole plan and two seats cost $398/mo. Against a hybrid plan the crossover sits higher: RecurPost Agency costs $79/mo for 20 profiles and three users plus $20/mo per extra person, which stays below Sendible Premium through nine users and passes it at ten.

Did Sendible stop charging per user?

Sendible stopped charging per user. It replaced its per-seat ladder with workspace-based tiers where every plan includes unlimited users, verified 2026-07-17, and sendible.com/pricing still stated “Unlimited users on all plans” when fetched on 2026-08-24. The before-and-after plan figures sit in the Watchdog entry linked above.

Does a smaller included-user count mean a price rise if the plan price did not change?

A smaller included-user count raises the cost per included user, which is an interpretation of the event rather than the event itself. Vista Social Professional held at $79/mo while included users went from 3 to 2 (verified 2026-08-04), taking the cost per included user from $26.33 to $39.50, a rise of 50%. Advanced moved from $24.83 to $37.25 per included user on the same basis, and Scale from $34.90 to $43.63. A team of one or two on Professional pays $79/mo before and after, so for that team the cut is not a rise at all.

Why are some vendors missing from the classification?

Three vendors are unclassifiable on this axis for two reasons on the record. Meltwater and Sprinklr Social publish no self-serve price, and Sprinklr’s pricing pages have returned 404 since it ended self-serve purchasing on 2026-04-30. Oktopost publishes annual license figures with no user count attached. Separately, fourteen rows in the table above name our own dated profile as their source rather than a same-day vendor fetch, because those vendors render their plan cards in JavaScript or publish nothing.
